"Answers questions about our products, prices and lead times from our own information" succeeds. "Handles customer service" fails. We spend real time here because it determines everything downstream.
Grounding it in your material
Your prices, policies, product details, FAQs and past correspondence, prepared and indexed so it answers from your material rather than inventing plausible text.
Connecting to systems where warranted
Read access to what it needs to be useful — a booking calendar, an order system, a knowledge base. Write access only where the risk is genuinely acceptable, and usually behind a human confirmation.
Guardrails and handover
Explicit rules on what it must never do, plus a defined path to a person when it is uncertain. A bot that says "let me get someone to confirm that" is far more valuable than one that guesses confidently.
Testing with awkward questions
We test with the ambiguous ones, the rude ones and the deliberately misleading ones before any customer sees it. You review the transcripts.

Conversation review for the first weeks so gaps get closed while they are cheap. Most need a handful of corrections in month one and very few after that.

Chatbots & AI Assistants: common questions
Will it make things up?
Language models can produce confident wrong answers, and pretending otherwise would be dishonest. What reduces it to an acceptable level is grounding it in your own documents, constraining what it may discuss, and giving it an explicit path to say "I do not know, let me get a person". We test for it before launch and monitor for it after.
Is our business data safe?
We use business-tier services with contractual terms that exclude your data from model training, and we scope each build to the minimum information it needs. Where data is particularly sensitive, we will often recommend the assistant simply has no access to it.
How much does one cost?
Meaningfully more than a subscription and meaningfully less than custom software. The variables are how many systems it connects to and how much of your material needs preparing. The assessment produces a real figure for your case; a range quoted here would be close to meaningless.
Can we maintain it ourselves afterwards?
That is the default we build toward. Updating what it knows should be a matter of updating a document, not calling us. More involved changes — new system connections, changes to its remit — usually need help.
What is the difference between this and a voice agent?
Only the channel, and it is a bigger difference than it sounds. A chatbot handles typed conversations on your website; a voice agent answers the phone. Phone callers expect an immediate answer and will not tolerate a pause, so voice agents are scoped more tightly and tested harder. Many businesses want both, and they can share the same underlying information.
